We are currently looking for an Operations Analyst to join our UK Ops team to provide operational support to the business, working with Directors, Delivery Managers and Project Teams to ensure client projects are delivered on time and within budget.

Key Responsibilities:

Scheduling

  • Maintain the scheduling tool with accurate project information and dates to manage existing projects and forecast capacity for future work  
  • Working with the QA Delivery Manager, allocate testers to projects based on current devices, availability, and project demands 
  • Publish our schedule and provide team updates to our employees 
  • Update weekly and monthly reporting spreadsheets for tracking hours and holiday 

Device Management

  • Arrange device exchanges with QA resources to provide coverage to clients 
  • Review device inventory regularly and request new devices as per increased need or new releases 

Finance

  • Check invoices to clients match the information that we have reported 

Projects

  • Provide test briefs to leads prior to projects starting 
  • Act as key point of contact for internal colleagues, external stakeholders and clients for project related queries and resolve issues / escalate where required
  • Create and maintain process guides and other documentation as used by management and testers 
  • Generate metrics and reports as required by management 
  • Lead and/or support, process improvement initiatives including but not limited to data tracking and analysis and creation of new documentation
  • With the highest levels of confidentiality, work with test leads and management to collate and track tester performance and rankings   
  • Following input from senior management, produce cost proposals to issue to prospective clients
  • Any other operational tasks as required

Essential skills / experience:

  • Expert user of Microsoft Office suite and Google Sheets with a proven ability to build and analyse complex data sets
  • Process-driven with a continuous improvement mindset
  • Client focused and passionate about service delivery excellence
  • Organised with demonstrable experience of successfully managing multiple deadlines and workstreams
  • Proactive, “can-do” attitude with a strong work ethic
  • Ability to develop effective working relationships at all levels of the organisation and externally with clients and partners
  • Ability to remain impartial and think level headedly 
  • Previous experience of working in a similar organisational/operational role is desired but not essential
